Apartment Šumer-Rogla

1. General Provisions

  • These terms govern the relationship between the tenant (“Guest”) and the operator of Apartment Šumer-Rogla (“Operator”).
  • The reservation is valid only after confirmation by the Operator and after payment of the advance payment.
  • Each reservation requires 100% advance payment according to the proforma invoice, which you will receive by email after submitting your inquiry.
  • The payment deadline is 24 hours.
  • These terms are an integral part of the rental agreement and are legally binding.

2. Reservation and Conclusion of Agreement

  • Reservation via online form, email, or phone.
  • Confirmation requires completion of the form and payment of the reservation.
  • By submitting the reservation, the Guest confirms acceptance of the rental terms and the apartment’s house rules.
  • After receiving the completed inquiry form for rental, the Operator will contact you within 72 hours and provide further payment information.
  • The Operator may cancel the reservation if the Guest fails to provide accurate information or payment.

3. Prices, Payment, and Extras

  • Minimum stay: 1 night, with a 50% surcharge. (e.g., base €100 → €150)
  • Seasonal approximate prices:
    • Winter (December–March): €120–170/night, minimum 3 nights
    • Summer (June–August): €90–110/night, minimum 2 nights
    • Shoulder season (April, May, September–November): €60–90/night, minimum 2 nights
    • Holidays (Christmas, New Year’s Eve, Easter): €180–220/night, minimum 3–4 nights
  • Additional costs:
    • Lost keys: €20
    • Tourist tax: €3/person/night for adults, €1.50/children (7–18 years), free for small children (<7 years)
    • Pets: €15/night, by agreement
  • Discounts:
    • Stay over 7 nights: -10% on total amount
    • Early Bird: Booking 3+ months in advance: -5%
    • Regular guests: -10%
    • Last Minute: booking less than 48 hours before arrival: -10% to -15%
  • Note: For one-night stays, the 50% surcharge is applied first; discounts are not calculated. Occasional promotions may be available if there are no reservations.
  • All listed prices exclude VAT (22%).
  • In case of force majeure and proven extraordinary circumstances (illness, accident), we can individually arrange a date change (voucher).

4. Cancellation of Reservation

Contact for reservation cancellation is the apartment operator.

  • More than 30 days before arrival: 100% refund.
  • 14–30 days before arrival: 50% refund
  • Less than 14 days before arrival: no refund, except in case of force majeure
  • Holiday periods: no refund for cancellation < 30 days before arrival
  • Force majeure: proven extraordinary circumstances (illness, accident) → agreement on date change (voucher)
  • Early departure: unused nights are non-refundable
  • No-show: if no notice is given by 8:00 PM on the arrival day → full payment retained

5. Arrival and Departure Times

    • Arrival: 11:00 AM, Departure: 9:00 AM
    • Check-out procedure: To help us keep the apartment in the best condition for the next guests, we ask you to take care of the following upon departure:
      • Dishes washed and put away
      • Trash: disposed in designated bins in front of the building
      • Windows closed, lights turned off, heating turned off
      • Keys: left in the agreed place or returned to the owner (by prior arrangement)
      • Notification of any damage or malfunction
      • Towels and bed linen washed in the washer-dryer and folded

6. Early Arrival and Late Departure

  • Early arrival (before 11:00 AM): by prior arrangement and availability
  • Late departure (after 9:00 AM): by arrangement, if no new guests are arriving
  • Surcharges:
    • Up to 3 hours difference: €20
    • Over 3 hours: 50% of the nightly rate
  • Notice at least 24 hours in advance

7. Guest Obligations

  • Compliance with house rules, Operator’s instructions, and safety regulations
  • Liability for damage to the apartment or inventory
  • Responsibility for personal belongings; the Operator is not liable for loss or theft
  • Upon departure, ensure the apartment is in the same condition as upon arrival.

8. Operator Obligations

  • Provides the apartment in the agreed condition and with the agreed equipment
  • Not liable for damage caused by force majeure (natural disasters, transportation cancellations)
  • The Operator is not liable for loss, theft, or damage to the Guests’ or their companions’ personal belongings, regardless of the cause.

9. Legal Protection and Liability

  • Competent court in Slovenia
  • The Law on Obligations and the Consumer Protection Act apply

10. Personal Data

  • The Guest confirms the processing of personal data in accordance with the Personal Data Protection Policy
  • Data is used for reservation, invoicing, and communication
  • Right to access, correction, deletion, or restriction of processing, and the right to file a complaint with the Information Commissioner

11. Changes to Terms

  • The Operator reserves the right to change these terms
  • Updates will be published on the website; changes do not affect already confirmed reservations
  • Prices apply to new reservations; confirmed reservations are protected with the price valid at the time of the inquiry.

Privacy Policy

Introduction
At Apartment Šumer-Rogla (hereinafter: the "Apartment"), we value your privacy and take the protection of personal data seriously. This policy describes what data we collect, how we process it for the purpose of providing reservations and other services, and the rights of individuals in accordance with Regulation (EU) 2016/679 (GDPR) and Slovenian legislation (ZVOP-2).

For the purpose of reserving a holiday apartment, we collect the following personal data:

  • First and last name of the person making the reservation
  • Email address
  • Phone number
  • Arrival and departure dates
  • Number of adults and children
  • Special requests or comments

Data is collected via the online form on the website and is sent to the operator's email address.

3. Purpose and Legal Basis for Processing

Personal data is processed for:

  • Accepting and processing apartment reservations
  • Issuing invoices and monitoring payments
  • Resolving any issues related to the reservation or IT services

Legal basis: processing is necessary for the performance of the apartment rental agreement between the guest and the Apartment (Article 6(1)(b) of the GDPR).

4. Sharing Data with Third Parties

Personal data is shared only:

  • With accounting services or other service providers, when necessary for obligations to AJPES or accounting purposes
  • With professional IT services, in case of technical issues or website maintenance

Data is not shared with third parties for marketing or commercial purposes.

5. Data Retention

Personal data is retained only as long as necessary for the purpose for which it was collected, or for the period prescribed by legislation regarding accounting and other records (approximately 10 years for accounting records).

6. Individual Rights

Every guest has the right:

  • to access their personal data
  • to rectify inaccurate or incomplete data
  • to erasure or restriction of processing, provided this does not conflict with legal obligations
  • to data portability
  • to file a complaint with the Information Commissioner of the Republic of Slovenia

7. Data Protection

The operator ensures technical and organizational measures to protect personal data from unauthorized access, loss, or misuse.

8. Policy Changes

Apartment Šumer-Rogla reserves the right to amend this policy. Updates will be published on the website.

9. Dispute Resolution

Any disputes regarding the processing of personal data shall be resolved amicably between the guest and the operator.

If an amicable solution is not possible, the competent court in the Republic of Slovenia shall have jurisdiction in accordance with applicable legislation.

Individuals have the right to lodge a complaint with the Information Commissioner of the Republic of Slovenia (Dunajska cesta 22, 1000 Ljubljana, www.ip-rs.si), in accordance with Article 77 of the GDPR and the provisions of ZVOP-2, as well as the right to judicial remedy in accordance with Articles 78 and 79 of the GDPR.

Guest Consent
By confirming this form, I authorize Apartment Šumer Rogla to process my personal data that I provide upon reservation, including:

  • First and last name
  • Email address
  • Phone number
  • Arrival and departure dates
  • Number of adults/children
  • Special requests or comments

Purpose of Processing:

  • Accepting and processing the apartment reservation
  • Issuing invoices and monitoring payments
  • Communication regarding the reservation

Legal Basis:

  • Processing is necessary for the performance of the apartment rental agreement (Article 6(1)(b) of the GDPR)
  • In the case of sending promotional content or offers, separate consent would be required

Processing and Retention:

  • Your data is retained only as long as necessary for the purpose of the reservation and in accordance with legislation (approximately 10 years for accounting records).
  • Data is not shared with third parties, except with accounting services or IT for technical support.

Individual Rights:

  • Access to your data

HOUSE RULES

For a safe and pleasant stay at Apartment Šumer-Rogla, please follow these rules:


1. Arrival and Departure

  • Arrival: from 11:00 AM onwards.
  • Departure: by 9:00 AM.
  • Changes to arrival or departure times are possible by prior arrangement with the operator.
  • Early arrival (before 11:00 AM) and late departure (after 9:00 AM) possible by arrangement and availability. Surcharges: up to 3 hours difference €20, longer than 3 hours 50% of the nightly rate.

2. Keys

  • You will receive the keys in a locker in front of the apartment with a PIN code, which the operator will provide before arrival.
  • Keys must be returned upon departure. Unreturned or lost keys: cost €20 for a new copy or lock replacement.

3. Parking

  • Free parking is provided for guests in front of the apartment.

4. Use of the Apartment

  • Heating and electrical appliances may only be used in accordance with instructions and for their intended purpose. Interfering with appliance settings or improper use is prohibited. The guest is liable for damage caused by improper or negligent use.
  • The apartment and all equipment must be used in a safe and responsible manner.
  • The guest is responsible for any damage caused by themselves or their companions.
  • Upon departure, the apartment must be in the same condition as upon arrival.
  • Smoking is strictly prohibited indoors, allowed only on the outdoor balcony or in front of the building using an ashtray.
  • Pets are allowed only by prior arrangement and with an additional fee.
  • Quiet hours are from 10:00 PM to 6:00 AM. Please avoid excessive noise during this time.
  • Maximum number of guests: no more than the number stated at the time of reservation (maximum 5 persons).
  • Parties and visits: organizing parties or large gatherings is strictly prohibited. Outside visitors only with prior approval, ending by 10:00 PM.
  • Minors: persons under 18 years of age may not stay without the accompaniment of a parent or an adult responsible person.

5. Bed Linen, Towels, and Cleaning

  • Fresh towels and bed linen are provided before the start of your stay.
  • Guests are kindly asked to tidy up, wash the dishes, and ensure the cleanliness of the apartment before departure.
  • If the apartment is not left in order, a cleaning fee may be charged.

6. Security Deposit and Damage

  • A security deposit may be charged by agreement, which will be refunded after departure if there is no damage.
  • The guest is liable for any damage caused. The apartment caretaker will assess the damage upon departure or immediately after discovery.
  • Any damages must be settled before departure.

7. Safety

  • Guests are required to use the apartment safely and follow basic safety rules.
  • The operator is not liable for personal injuries or loss of personal belongings due to guest negligence or failure to follow the rules.
  • The operator is not liable for loss, theft, or damage to the personal belongings of the Guest or their companions, regardless of the cause. The Guest is responsible for their own personal belongings. We recommend taking out appropriate travel or property insurance.
  • Guests are required to follow basic fire and general safety rules. The use of open flames in the apartment is prohibited unless explicitly permitted. In the event of a fire or other danger, guests must immediately leave the building and notify the relevant authorities and the operator.

8. Prohibitions

  • The following are prohibited in the apartment:
    • Smoking indoors
    • Loud parties or actions that disturb neighbors
    • Pets without prior arrangement
    • Engaging in any illegal activities, including storing or using dangerous, flammable, or prohibited substances.

    • In the event of a violation, the operator has the right to immediately terminate the stay without refund.

9. Legal Provisions

  • The applicable laws of the Republic of Slovenia govern any unfulfilled obligations and damages.
  • Any disputes shall be settled by the competent court in Slovenia.
  • These house rules, together with the rental terms, form part of the apartment rental agreement and are binding for guests.
